This guide will look at how to clear the ‘Vendor/Applicant not contacted’ message in the iamproperty CRM Task List. ‘…Not Contacted’ entries are driven by the last date a Vendor/Applicant was contacted as well as the settings in the Activity List, changing the day settings in Activity list can reduce the amount of entries seen.
Getting Started
To clear Vendors or Applicants not Contacted entries from your Activity List, you need to record a contact with the Vendor or Applicant. This contact can be E-Mail, Log a Call, Letter, SMS.
You can do this from the Vendor or Applicant Record in iamproperty CRM using the icons in the top right corner of the screen to log a call, create a letter/e-mail or SMS which will clear the entry.
Or to do this from the Activity List. Navigate to Vendors/Applicants not Contacted in the Activity list.
Click on the three-Dot menu to the left of the record.
From the menu select either ‘Log Call’, ‘New Journal Entry’ or ‘View Applicant’ if you want to use SMS, Email or Letter.
Alternatively, click into the box the left of the Negotiator name and use the SMS or email icons at the top of the screen.
Either option will show this window (Log Call will have ‘Call’ prepopulated in Entry Type field).
Select the Entry Type, either Email, Letter, SMS or Log Call.
Type a description into the field, add any attachments/link any records and click ‘Save’.
If you have emailed the Vendor/Applicant from outside of iamproperty CRM (e.g. responded to their email) you can copy the email and its contents into this journal entry from your email client into iamproperty CRM.
To do this. In iamproperty CRM make sure you are in the attachments tab of the ‘Add New Journal Entry’ screen.
Open your email and minimise both the email and iamproperty CRM.
Click and drag the email over to the iamproperty CRM screen and drop into the attachment field. The email and up to 2 attachments will be added to the Journal record.
Click Save and the Journal will update with all the information, the Activity List entry will disappear.
